Terms & Conditions

Welcome to Velora. By booking or participating in any tour, trip, trek, transportation, accommodation, activity, or travel service arranged by Velora, you agree to the following Terms & Conditions.

1. Booking & Confirmation

  1. A booking is considered confirmed only after Velora receives the required advance/payment and provides booking confirmation.
  2. The amount of advance payment may vary depending on the package, destination, accommodation, transportation, and service providers involved.
  3. The customer must provide accurate information, including full name, age, contact details, identification details, and any other information required for the booking.
  4. Any incorrect information provided by the customer that results in additional charges, cancellation, denial of service, or other losses will be the customer's responsibility.
  5. Prices mentioned in promotional materials are subject to availability and may change without prior notice until the booking is confirmed.

2. Payment Terms

  1. Customers must complete payments according to the payment schedule communicated by Velora.
  2. Failure to make payments within the specified deadline may result in cancellation of the booking.
  3. Additional charges may apply for optional activities, upgrades, personal expenses, meals not included in the package, permits, or services specifically excluded from the package.
  4. Payment gateway, banking, transaction, or other processing charges, where applicable, may be non-refundable.

3. Cancellation & Refund Policy

  1. Cancellation requests must be submitted to Velora in writing through the official communication channel.
  2. Cancellation charges will depend on the package, date of cancellation, supplier policies, transportation bookings, hotel policies, permits, tickets, and other non-refundable commitments.
  3. Certain bookings may be completely non-refundable once confirmed.
  4. Refunds, where applicable, will be processed after deduction of applicable cancellation charges and non-refundable expenses.
  5. Refund processing time may depend on banks, payment gateways, hotels, transport operators, and other service providers.
  6. No refund will normally be provided for unused services, missed transportation, late arrival, voluntary withdrawal from a trip, or leaving a tour before its scheduled completion.

4. Rescheduling & Changes

  1. Requests to change travel dates, passenger details, accommodation, transportation, or itinerary are subject to availability.
  2. Rescheduling may involve additional charges imposed by airlines, railways, hotels, transport operators, activity providers, or other suppliers.
  3. Velora reserves the right to refuse a requested change where the service provider does not permit modification.

5. Itinerary Changes

  1. Travel itineraries are planned according to prevailing road conditions, weather, local conditions, permits, operational schedules, availability, and other circumstances.
  2. Velora reserves the right to modify, rearrange, replace, or cancel any activity, sightseeing point, accommodation, route, or transportation arrangement when reasonably necessary.
  3. Such changes may occur due to adverse weather, landslides, road closures, government restrictions, local disturbances, natural disasters, safety concerns, operational issues, or circumstances beyond Velora's control.
  4. Where reasonably possible, Velora will attempt to provide a suitable alternative.

6. Transportation

  1. Transportation included in a package will be provided according to the vehicle, route, and schedule specified in the package details.
  2. Vehicle type may be changed due to availability or operational requirements.
  3. Delays caused by traffic, road conditions, weather, mechanical problems, government restrictions, strikes, or other circumstances beyond Velora's control do not automatically qualify for a refund.
  4. Customers are responsible for arriving at designated pickup points on time.
  5. Missed transportation due to late arrival may be treated as a voluntary failure to use the service and may not be refundable.

7. Accommodation

  1. Accommodation will generally be provided according to the category mentioned in the selected package.
  2. Hotel, homestay, campsite, hostel, guesthouse, or other accommodation may be changed to a similar category when required due to availability or operational circumstances.
  3. Early check-in, late check-out, room upgrades, extra beds, room service, laundry, minibar, and other personal services may incur additional charges.
  4. Room allocation is subject to the accommodation provider's policies.

8. Food & Meals

  1. Only meals specifically mentioned as included in the package are covered.
  2. Special meals, additional meals, beverages, room service, and personal food expenses are generally excluded unless expressly stated otherwise.
  3. Customers should inform Velora in advance about dietary requirements or food allergies. However, Velora cannot guarantee the availability of specific dietary options at every destination.

9. Permits, Documents & Identification

  1. Customers are responsible for carrying valid identification and travel documents required for the trip.
  2. Where permits such as Inner Line Permits (ILP) are included, customers must provide the required information and documents within the specified timeframe.
  3. Failure to provide correct or valid documents may result in denial of permits or services without entitlement to a refund.
  4. Customers are responsible for complying with immigration, government, forest, local authority, and destination-specific requirements.

10. Adventure Activities & Treks

  1. Trekking, hiking, camping, river activities, kayaking, adventure sports, mountain travel, and similar activities involve inherent risks.
  2. Customers must follow instructions given by Velora's trip leaders, guides, drivers, instructors, local authorities, and activity providers.
  3. Participation in adventure activities may be subject to age, fitness, weather, safety, medical, or operator restrictions.
  4. Velora may restrict or cancel participation in an activity where it reasonably believes that continuing would create a safety risk.
  5. Customers are responsible for carrying appropriate clothing, footwear, medicines, personal equipment, and other necessities required for the trip.
  6. Any damage caused by a customer to equipment, vehicles, accommodation, or other property may be charged to the customer.

11. Health, Fitness & Personal Responsibility

  1. Customers are responsible for assessing whether they are physically and otherwise capable of participating in the selected trip and activities.
  2. Customers should disclose relevant requirements to Velora where necessary for safe travel.
  3. Velora may recommend that a customer seek appropriate professional medical advice before participating in physically demanding activities.
  4. Customers are responsible for carrying prescribed personal medication and essential medical supplies.

12. Personal Belongings

  1. Customers are responsible for their own luggage, valuables, electronics, documents, money, and personal belongings.
  2. Velora will not be responsible for loss, theft, damage, or misplacement of personal belongings unless caused by proven negligence or as otherwise required by applicable law.
  3. Customers should avoid carrying unnecessary valuables during treks and adventure activities.

13. Customer Conduct

Customers are expected to:

  • Follow instructions from Velora representatives and local guides.
  • Respect local communities, customs, culture, wildlife, and the environment.
  • Avoid illegal, abusive, threatening, discriminatory, or disruptive behaviour.
  • Follow accommodation and transportation rules.
  • Avoid behaviour that endangers themselves or other travellers.

Velora reserves the right to remove a customer from a trip, without refund where appropriate, if their behaviour creates a serious safety, legal, or operational concern.

14. Force Majeure

Velora will not be liable for failure or delay in providing services caused by circumstances beyond its reasonable control, including but not limited to:

  • Natural disasters
  • Severe weather
  • Landslides or floods
  • Road closures
  • Government restrictions
  • Political disturbances
  • Strikes
  • Epidemics or pandemics
  • Transportation disruptions
  • War or civil unrest
  • Acts of terrorism
  • Local authority restrictions
  • Other unforeseen circumstances

Where possible, Velora will make reasonable efforts to arrange alternative services.

15. Third-Party Service Providers

Velora may use independent third-party service providers, including hotels, transport operators, airlines, railways, guides, activity operators, restaurants, and local agencies.

Their services may be subject to their own terms, conditions, safety standards, cancellation policies, and operational limitations.

16. Photography & Promotional Content

Velora may photograph or record trips for promotional, marketing, social media, website, or advertising purposes.

Customers who do not wish to appear in promotional material should inform Velora before or during the trip.

17. Travel Insurance

Travel insurance is recommended for all customers, particularly for adventure trips, trekking, interstate/international travel, and trips involving weather or terrain-related risks.

Unless specifically stated in the package, travel insurance is not included in the tour price.

18. Pricing & Package Inclusions

  1. Package inclusions and exclusions will be communicated before booking.
  2. Promotional prices may be subject to limited availability.
  3. Government taxes, permit fees, fuel surcharges, entry fees, or other charges may change after publication of a package.
  4. Any service not specifically listed under "Inclusions" should be considered excluded.

19. Liability

Velora will take reasonable care to provide the services described in the confirmed package.

However, Velora shall not be responsible for losses, delays, injuries, cancellations, or disruptions arising from circumstances outside its reasonable control or from the acts or omissions of independent third-party service providers, except to the extent liability cannot legally be excluded or limited.

Nothing in these Terms & Conditions is intended to exclude or restrict any legal rights or protections that cannot lawfully be excluded.

20. Complaints

Any complaint regarding a service should be reported to Velora as soon as reasonably possible during the trip so that an opportunity can be provided to resolve the matter.

Complaints submitted after completion of the trip should preferably be made in writing with relevant details and supporting documents.

21. Acceptance of Terms

By making a booking with Velora, the customer confirms that they have read, understood, and accepted these Terms & Conditions.

Velora reserves the right to update these Terms & Conditions from time to time. The applicable version will be the version in effect at the time of booking, unless otherwise required by law.
